In this declaration, we provide information on the collection of personal data when you use the online registration for the conference on ENERGY SECURITY – Lessons from Ukraine to be held on 19 May 2026. Personal data is all data that relates to you personally, for example your name, organization and email address.

3. In cooperation with our processor, POOLgroup GmbH, we will process personal data for the purpose of organizing the conference on ENERGY SECURITY – Lessons from Ukraine to be held on 19 May 2026. The legal basis for processing is Article 6 (1) (e) of the GDPR in conjunction with section 3 of the Federal Data Protection Act, as processing is necessary for the performance of a task carried out in the public interest or in the exercise of official authority vested in the controller.

4. The following categories of the delegation members’ personal data will be processed as part of the registration and accreditation process: gender, academic title, last name, first name, email address, institution, position. The provision of further personal data, such as a telephone number, is optional.

5. The data is used for participant administration and is stored on secure servers. The servers are located on the premises of POOLgroup GmbH, Lützowstraße 102, 10785 Berlin in a certified data vault. The participants personal data will only be stored for as long as this is necessary, in particular in order to organize the event. This data will be erased six weeks after the event, on 30 June 2026.

6. Your rights

Data subjects have the following rights regarding their personal data if the relevant conditions are met:

  • Right of access (Article 15 GDPR)
  • Right to rectification (Article 16 GDPR)
  • Right to erasure (Article 17 GDPR)
  • Right to restriction of processing (Article 18 GDPR)
  • Right to data portability (Article 20 GDPR)
  • Right to object to processing (Article 21 GDPR).
